Incoming Mail

Incoming mail arrives in 3 main areas: 

  1. Mail cubicle or table island (requires Pre-sort)
  2. 1st floor UPS or FedEx shelves (requires Pre-sort)
  3. 1st floor Courier truck (all set for open and sort)

Once all mail has been retrieved, bring our mail to the table island (if not already there).  Open and sort.

UPS

UPS Shipping Checklist

  • Cross check signage (barcode, stamps, book plates, etc.) on the item to the address we are shipping it to.  If it does not match, then show your supervisor.
  • UPS packages are only to be shipped in the UPS pad paks, small boxes, medium boxes, large boxes, or the recycled boxes (only if the UPS large boxes are not big enough).
  • Double check each pile of books on the Outgoing UPS shelf in order to ensure items going to the same place are in the same package and prevent shipping errors.
  • All media items (DVDs, CDs, CD-Roms, Laserdisc, Microfiche &Microfilm, etc.) are to be BOXED!  NO EXCEPTIONS.
  • When sealing a recycled box, make sure all tape lies flat so that there are no hanging bits of tape that can be caught or ripped off easily
  • After packaging, weigh each UPS package (the scale is at the Mail Processing Station. Round up to the nearest whole number (example:  1.1 lbs would be considered 2 lbs) and right that weight on the post-it.
  • Place all UPS packages on the UPS truck (1st floor, next to the Circulation Desk)

FedEx

FedEx Shipping Checklist

  • Cross check signage (barcode, stamps, book plates, etc.) on the item to the address we are shipping it to.  If it does not match, then show your supervisor.
  • FirstClass items are only to be packaged in either the manila Jiffy packs or recycled boxes.
  • Double check each pile of books on the Outgoing FirstClass shelf in order to ensure items going to the same place are in the same package and prevent shipping errors.
  • All media items (DVDs, CDs, CD-ROMs, Laserdisc, Microfiche &Microfilm, etc.) are to be BOXED!  NO EXCEPTIONS.

Courier

Courier Shipping Checklist

 

  • Cross check signage (barcode, stamps, book plates, etc.) on the item to the address we are shipping it to.  If it does not match, then show your supervisor.
  • Courier items are only to be packaged with either rubber bands or in recycled boxes.
  • Double check each pile of books on the Outgoing Courier shelf in order to ensure items going to the same place are in the same package and prevent shipping errors.
  • All media items (DVDs, CDs, CD-Roms, Laserdisc, Microfiche &Microfilm, etc.) are to be BOXED!  NO EXCEPTIONS.
  • If boxing a package for Courier, make sure the Courier slip is completely covered by tape in order to laminate its surface and prevent damage to the label.
  • When sealing a box, make sure all tape lies flat so that there are no hanging bits of tape that can be caught or ripped off easily.

BookRate

BookRate Shipping Checklist​​​​​​​

 

  • Cross check signage (barcode, stamps, book plates, etc.) on the item to the address we are shipping it to.  If it does not match, then show your supervisor.
  • Double check each pile of books on the Outgoing BookRate shelf in order to ensure items going to the same place are in the same package and prevent shipping errors.
  • All media items (DVDs, CDs, CD-ROMs, Laserdisc, Microfiche &Microfilm, etc.) are to be BOXED!  NO EXCEPTIONS.
  • Completely cover shipping labels with packaging tape in order to laminate its surface and prevent damage to the label.
  • When sealing a box, make sure all tape lies flat so that there are no hanging bits of tape that can be caught or ripped off easily.

Does the Shipping Label look wrong to you?

Please make sure to check the shipping labels when shipping out Bookrate and FirstClass mail. A proper shipping label must have (red is required, orange is optional):

If the shipping label is missing the street address, city, state, or zip code, then that package will not ship properly and get bounced back to our office. You can go to ILLiad to find the correct shipping address and create a proper shipping label.  Please see the 2 files below for instructions on how to find the correct shipping address in ILLiad and a template you can use to create a new shipping label.
